Set default descriptions for invoices

When booking invoices, standard descriptions are often used. At the administration level, you can set a default invoice description for purchase and sales invoices. You can do this using so called “labels.”

  1. Go to Settings (Cogwheel) > Accounts and double-click on the account.

  2. On the Settings tab, under Entry Settings, you’ll find the fields Default Description for Purchase Invoices and Default Description for Sales Invoices.

  3. Select the labels you want to use from the dropdown menu. These will then be displayed in the field next to it.

  4. Click Save.

What are labels?

In the entry settings, you can add labels and set them as default descriptions. These labels correspond to a field in the Check screen and are displayed there in the description field. When you send the journal entry, these labels are converted to the values that were entered in the corresponding fields.

The following labels can be used and only work if the text is enclosed in square brackets:

  • [supplier code]

  • [supplier]

  • [customer code]

  • [customer]

  • [invoice number]

  • [invoice date]

  • [month]

  • [period]
