In TriFact365, you can export data from various locations. As long as your subscription is active, you have access to the export functions for the documents and data you have processed.
What data can you export?
Documents
You can export all submitted documents, such as:
Invoices
Receipts
Other files
Export by Screen
In various screens of TriFact365, you can export the different columns to Excel (.xlsx). You can export a single page or all pages, including the associated attachments.
Settings Exports
You can export various settings overviews to Excel (.xlsx). You can export either a single page or all pages.
Archive Export
Would you like to receive a complete export of the archive? We can provide this upon request for each administration.
An archive export contains:
An overview of all entries as shown in the archive (excluding history).
For each administration, a folder containing the corresponding PDF files of the entries.
Depending on the size, the archive export is delivered as one or more ZIP files.
How does a data export work?
There are two ways to export data from TriFact365:
Exporting from a screen
Use the Export function on the relevant screen to download data as an Excel file (.xlsx). If available, the corresponding documents are included.
Requesting an archive export
For a complete archive export, please contact us at support@trifact365.nl. The Owner or Administrator of the TriFact365 account should email the following information (along with the request for an archive export):
The four-digit customer number (found on every invoice).
The name(s) of the administration(s) for which an export is requested.
The email address to which the export should be sent.
Costs
Using the standard export options, switching is free of charge (Switching and Data Portability Terms and Conditions, Article 6.1 and Annex A.4).
The cost of the archive export is β¬80, excluding VAT, per 10 administrations.
What is not included in a data export?
The following components are part of TriFact365βs internal operations and are therefore not exported:
the recognition models and AI patterns
History (the audit trail for the journal entries)
the underlying configuration logic of workflows, authorisation schedules,
confirmation schedules, posting rules, and automation rules (overviews of your own
configuration can be exported)
technical system, infrastructure, and security settings
authentication tokens, session data, and other internal data that you did not enter
Excluding this data does not hinder the migration process: your substantive data and documents, along with the overviews of your own configuration, are fully available.
